Research on ordering takeaway food online - information sheet

Welcome

The purpose of the research is to understand more about how people order takeaway food online.

It will cover things like:

  • Your experience of using apps or websites to order takeaway food online (for both collection or delivery)
  • What types of food people order
  • Broader topics like what kinds of foods you / your family like to eat in general

Before taking part, it is important that you understand what taking part will involve. If you have any questions, please do not hesitate to get in touch (contact details are at the end of this document). 

Who are Ipsos and why are they doing this research?

We are an independent research company with offices in Edinburgh. We undertake research for many clients in Scotland, mainly in the public sector. You can find out more about Ipsos here: https://www.ipsos.com/en-uk/approached-by-us 

This project has been commissioned by Food Standards Scotland. 

What is involved in taking part?

Taking part involves two stages:

  1. Four weeks using an app called Indeemo to record your takeaway orders on your phone or tablet and answer a few questions. 
  2. A follow up one hour interview with one of the Ipsos research team (usually done as a video call on Zoom/Teams).

You do not need any specialist knowledge to participate. Thirty people from across Scotland will be taking part. 

Do I need a smartphone or tablet to take part? 

Yes, the Indeemo app works best on smartphones. Your device will need to be

  • an iPhone 6 or above running iOS 15 and above (2021 onwards) 
  • or an Android device running Android 9 and above (2018 onwards)  

Tablets running iOS 15 or a later version; or Android 9 or later will also work. If you are unsure whether your device meets this, look in Settings > About phone on an Android device; or Settings > General > About on an Apple device. 

Do I need to order more takeaways than normal?

No – it is really important that you don’t change your usual ordering habits, because we are interested in what people normally do. If you end up ordering less than you normally do, that is also fine. 

How do I use the Indeemo app?

We will provide full instructions on how to download and use the Indeemo app. It will involve signing up to create an Indeemo account, and downloading either the Apple or Android version. 

The app is specially designed for researchers to can gather information and views from members of the public via their phones or tablets. Indeemo, like Ipsos, treat any data you provide securely, in keeping with data protection laws. Further details on how your personal data would be handled will be provided in our Privacy Policy. 

The app has been designed to be simple and easy to use. There will be a practice task to help you get used to it. If you have questions about the app at any stage, we will be on hand to provide support. 

The app will explain the tasks we would like you to do. This will include taking a screen recording when you order food on your phone, and answering a few questions afterwards. You don’t need to know how to make a screen recording to take part, we will provide clear instructions for you. 

What kind of food orders should I record?

We would like you record any takeaway food orders you make online. This could be a main meal, a snack or even a coffee - anything you are ordering to eat or drink straight away (but not alcoholic drinks). We do not need you to record orders of groceries from a supermarket or through an app like Deliveroo. 

What is involved in the follow up interview?

This will be a discussion with one of the Ipsos research team. We plan to do the interviews on Zoom/Teams – we’ll send you a meeting link by email (you do not need to download Zoom/Teams). If this does not suit you, please let us know as we may be able to make other arrangements.

We will ask you about your food orders and some broader food related questions. We recognise that food and eating can be a difficult topic for some people. The research team are all trained in taking an understanding, sensitive and non-judgemental approach. We want you to enjoy taking part in the research and not find it stressful. If there are any questions you do not want to answer, that will not be a problem. Also, if you need a break during the interview, you can let us know.

Do I have to take part?

No. It is your choice whether or not you participate. You can also choose not to answer individual questions. You can change your mind at any point, and you do not have to give a reason. If you would like to withdraw your consent to participate, please contact us.

What information will be used?

These are the types of data we may ask you to provide if you choose to take part in the project:

  • Contact details and demographic information (e.g. who you live with, what part of Scotland you live in)
  • Screen recording videos from your phone
  • Answers to questions in the Indeemo app
  • Notes and transcripts from the follow up interview answers
  • An audio file of the follow up interview (if you consent to this) - recording the discussion enables us to accurately capture what has been said
  • We will analyse the data and write a report for Food Standards Scotland. The report will not detail who took part, just the main findings from the project. The report is likely to use quotes, but we will not name or identify anyone when we use quotes. If you do not want us to quote anything you say, please just let us know.

Privacy Notice

We have a legal duty to inform you about why we are collecting information from you for the research. We provide this information in our Privacy Notice which should be read alongside this information sheet. The Privacy Notice outlines what information we will collect and why, and your rights. Importantly, you need to know that:

  • We will never use your personal data for anything other than this project.
  • Only FieldMouse (the organisation who invited you to take part in the workshop), the Ipsos project team, and Indeemo (the company that provide the app where you will complete tasks) will have access to your personal data.
  • Ipsos also use a transcription service. If you are happy for us to make an audio recording of the interview, a transcriber will listen to it (but they will not have access to your name and contact information). Audio files will be held and shared securely so that no one outside of the project can access it.
  • Only members of the Ipsos and Indeemo teams will have access to what you upload in the Indeemo app. Only the Ipsos research team and transcriber will have access to what you say in the follow up interview. All app uploads, notes, transcripts, video and audio files will be destroyed one year after the end of the project.
  • Your personal data (including your name and contact details) will be securely deleted three months after the end of the project.
  • You will not be identifiable in any of our reporting.

Privacy Notice - Research on ordering takeaway food online

What is a privacy notice?

  • A privacy notice explains how your personal data is used by an organisation. Personal data is information that identifies you, like your gender or your age.
  • This privacy notice explains how your personal data is used as part of a research project about ordering takeaway and delivery food.

What is this research about?

  • Food Standards Scotland has asked Ipsos Scotland, an independent research company, to carry out some research to understand more about how people order takeaway food online. It will cover things like people’s experiences of using apps or websites to order takeaway food online; the types of food that people order, and broader topics such as the types of foods that participants and their families like to eat in general.
  • The research will involve two stages: 

    1.    Four weeks using an app called Indeemo, to record takeaway orders on phones and tablets, and answer questions
    2.    A follow-up one hour interview with one of the Ipsos research team (usually via Zoom or Teams).

Who are Ipsos?

  • Ipsos is an independent research organisation. Ipsos is a member of the Market Research Society. This means it follows rules and guidelines set by the Market Research Society Code of Conduct.

Who is responsible for your personal data?

  • Food Standards Scotland and Ipsos are joint “data controllers” for this research. This means that they decide what personal data needs to be collected for the project.
  • Ipsos is also a “data processor” for this research. This means that Ipsos will be handling and using your personal data.
  • Ipsos is responsible for collecting and securely storing your personal data. They are also responsible for securely deleting your personal data. They will not share your personal data with Food Standards Scotland.

Why is Ipsos allowed to use your personal data?

  • Ipsos will only collect and use your personal data with your consent.
  • Ipsos must have a “legal basis” for collecting personal data. This means that Ipsos need to have a good reason to be allowed to do this.
  • The legal basis for collecting your personal data for this research is consent.  Taking part in this study is entirely voluntary. If you wish to withdraw your consent at any time, please see the section below covering ‘Your Rights’.
  • Food Standards Scotland must also have a legal basis for commissioning this work. This is “public interest” as part of their role in advising the Scottish Government on food policy matters.

What happens to the information you provide and how is your privacy protected?

  • The information collected from research discussions will be used for research purposes only. This will include writing a final report based on our findings, which we will deliver to Food Standards Scotland and will later be published on the Food Standards Scotland website. Quotes included in the report will be anonymised and it will not be possible to identify you in the report. Your personal data is protected by data protection legislation (see below).
  • We use third-party service providers, known as sub-processors, to help us operate and improve our services. In this project these are Indeemo, FieldMouse and a transcription service. These sub-processors process your personal data on our behalf and are subject to strict data protection obligations.
  • Ipsos takes its information security responsibilities seriously. It takes many steps to make sure your information is kept safe. This includes security to protect their office space as well as secure computer systems.
  • The data used for this research will be stored securely in a protected electronic folder that only the research team have access to. The data is stored on a UK server and will not leave the UK.
  • The steps Ipsos takes to protect information it holds are regularly checked. This means it has a certificate to prove that it has good information security. This is called is the International Standard for Information Security, ISO 27001.

How long is your information stored for?

  • Ipsos will only keep your data in a way that can identify you for as long as necessary for the research project.
  • Ipsos are required to keep the ‘raw data’ gathered for a year after the end of the project. This includes audio recordings, notes and transcripts from interviews, and information you upload into the Indeemo app (e.g. videos of screen recordings). This is done in case anyone has questions about a report we have published, and we need to go back to the data. They will then be securely destroyed.
  • Any other personal data (such as your name and contact details) will be securely destroyed three months after the end of the research project. This is kept for this length of time in case there are any queries from participants after the end of the project.

Who your personal information will be shared with

  • Ipsos will treat the information you give them confidentially. This means they will not share this information with anybody outside the research team and selected supplier organisations.
  • Ipsos will be using three supplier organisations to assist us in running the project and we will need to disclose your personal data to these supplier organisations for that purpose. These are:
    • FieldMouse (recruitment agency)
    • Indeemo (research app company)
    • A transcription company (still to be appointed)

All of these organisations have proved to Ipsos that they follow data protection legislation. This includes them storing your data securely and deleting it within three months of the end of the project.

Your rights

  • It is up to you whether you take part in the research. There are no consequences if you change your mind about taking part. You do not have to answer every question if you do not want to.
  • Ipsos follows General Data Protection Regulation (GDPR) regulation. GDPR is designed to give you more control over your personal data. This means you have the right to:
    o    access a copy of the information an organisation holds about you;
    o    correct any information that you think is inaccurate or incomplete;
    o    restrict the use of your information in certain circumstances;
    o    object to use of data that is likely to cause or is causing damage or distress;
    o    ask for your personal data to be deleted;
    o    complain to a supervisory authority if you are unhappy with how your data has been used
